A system of record holds the version of the truth an organisation is prepared to stand behind: the general ledger, the customer account, the patient record. Other tools may copy, analyse or display that data, but when two figures disagree, the system of record wins.
Its value lies less in the interface than in what surrounds the data: the audit trail of who changed what and when, permissions that match the organisation chart, integrations built up over years, and in regulated sectors, the approval to operate. That is why these systems are the hardest software for an AI model to displace, even as models absorb lighter tools such as presentation and design software.
The practical consequence for AI programmes is that agents and model-built tools should read from and write to the system of record through controlled interfaces, never become a second, unofficial source of the same data.
